The Afro-CariBrant Festival is looking for a detail-oriented and highly organized event coordinator to join our team. The event coordinator will be responsible for assisting with the planning, coordination, and execution of a variety of events, ensuring they run smoothly and meet the company’s goals. You will work closely with vendors, staff, and event attendees to ensure all logistics are handled efficiently.
- Position: Event Coordinator
- Location: Paris, ON (and Remote)
- Salary: $17.20/hour
- Duration: 8 Weeks
Key Responsibilities
- Event Planning and Preparation – Assist in the planning and coordination of events such as conferences, trade shows, corporate meetings, festivals, and social events.
- Work with the event manager to create event schedules, timelines, and detailed plans.
- Communicate with vendors to ensure the timely delivery of services and supplies.
- Vendor and Stakeholder Coordination – Act as the main point of contact for vendors, sponsors, and stakeholders before, during, and after the event.
- Assist in negotiating contracts with vendors and service providers.
- Manage relationships with external suppliers, ensuring they meet deadlines and quality standards.
- Plan Event Day Coordination – Oversee event setup, registration, and attendee check-ins.
- Ensure all event logistics are executed according to plan, including seating arrangements, audio-visual equipment setup, and catering services.
- Manage event staff, volunteers, and temporary workers, assigning roles and ensuring smooth collaboration.
- Attendee Management – Assist with planning for attendee registration processes, including managing RSVPs and responding to inquiries.
- Plan Coordinating communication with attendees, providing event details and updates.
- Ensure a welcoming and positive experience for all attendees.
- Budget and Financial Assistance – Assist the event manager with budgeting and tracking event expenses.
- Work with the finance team to process invoices, payments, and purchase orders.
- Ensure that the event stays within the assigned budget.
- Post-Event Activities – Assist in post-event evaluations by gathering feedback from attendees, vendors, and stakeholders.
- Help with post-event reporting, documenting what worked well and areas for improvement.
- Organize and oversee event breakdown and cleanup, ensuring all vendors fulfill their responsibilities.
Skills and Qualifications
- Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field (or equivalent experience)
- 1-2 years of experience in event planning or coordination
- Strong organizational and multitasking skills, with the ability to manage multiple events and priorities simultaneously
- Excellent communication and interpersonal skills
- Ability to remain calm under pressure and solve problems quickly
- Proficiency in Microsoft Office Suite(Word, Excel, PowerPoint) and event management software (e.g., Eventbrite, Cvent)
- Knowledge of event logistics, venue requirements, and vendor management
- Attention to detail and ability to handle a fast-paced work environment.
